How it works

  1. Import the list

    Paste from Excel or upload a CSV. Headings are matched for you, and duplicates are skipped.

  2. Graduands confirm

    Each one signs in with their index number and a code, then confirms or disputes their record.

  3. Plan sessions

    Sessions with seats for graduands and a set number of guests each.

  4. Tickets go out

    Confirmed graduands get their tickets by SMS and email, and name their guests.

The graduand list

  • Import from the registrar

    Index number, name, programme, class, college, phone, email and session, pasted or uploaded. Rows that would be skipped are shown before anything is added.

  • A confirmation portal

    Graduands sign in with their index number and a 6-digit code sent to their phone or email, then confirm, choose a gown size and hood, or dispute.

  • Disputes tracked to the deadline

    Name spelling, programme, class or session. The registrar resolves or rejects each one with a reply the graduand reads.

Sessions, guests and the gate

  • Sessions with guest limits

    Each session has graduand seats and a number of guests per graduand. Extra guest tickets can be offered while seats remain.

  • Tickets by SMS and email

    Issued when a graduand is cleared. They name each guest from their ticket page, and staff can resend or move them to another session.

  • Seat zones

    Seats kept for graduands and for their guests, with arrivals counted per section and per gate.

  • Scanned at the gate

    The same offline scanner and volunteer passes as any Durbar event.

  • Gowns and hoods

    Stock per size against what graduands chose, the shortfall, and what was handed out and returned.

  • Notices

    Tell everyone, or one session, about a change by SMS and email.

Who is this for?

Registrars and academic affairs offices running graduations, matriculations and congregations, from one college to a whole university.

How does a graduand sign in?

With their index number and the phone number or email on the list. They get a 6-digit code that works for 10 minutes. No password, no app.

What does it cost?

Institutions in the pilot agree a price with us before anything is charged. You can create a congregation, import the list and open the portal before then, at no cost.
