Send invitations and collect replies

Invite guests by SMS and email or share their link on WhatsApp, collect RSVPs, and send reminders.

Checked against Durbar on

Every guest gets their own link. It opens a page with the event, a reply form and, once they're coming, their passes for the gate. Nobody needs an account.

Publish the event before you send invitations. To keep it private, choose Invited guests only under Who can find it in the event's details.

To start from a designed invitation rather than a plain message, see Write an invitation from a template.

Invite by SMS and email

  1. Open the event in Guests, tick the guests you want, and choose Invite. Or choose Invite guests to reach everyone who hasn't replied.
  2. If you've written an invitation from a template, it's used as it stands: guests with an email get the full invitation, and Change the invitation takes you back to it. If you haven't, write a short message here, of at most 480 characters, using {name}, {event}, {when}, {venue} and {link}. Each guest's link is always added.
  3. Under Send by, keep SMS, Email or both, and check how many get each and what the first guest reads.
  4. Choose Send invitations. You have about 15 seconds to choose Undo before anything goes.

Share a link on WhatsApp

Open a guest and choose Share on WhatsApp. WhatsApp opens on your phone with their number and the invitation's SMS words filled in, and you send it yourself. Durbar marks them as invited. You can also copy Their link to send any other way.

How guests reply

On their page, a guest answers Yes, I'm coming, Maybe or No, I can't come, says how many of them are coming (up to their plus-ones), and can add dietary or access needs if you ask for them. They can change their reply until replies close.

Name each plus-one

For each person a guest brings, they can give a name and, when you ask, that person's own dietary and access needs. A named plus-one's pass carries their name, so the gate sees who they are; an unnamed one reads Guest of and the guest's name. Changing a name later keeps the same pass. You can also record plus-ones yourself in the guest's Reply form, and they show on the guest's page.

Under Invitations and replies, choose when Replies close (left blank, when the event starts), whether to Offer Maybe, and whether to ask about dietary and access needs.

Passes and the gate

A guest who says yes gets one QR pass per person on their page, with their link sent again by SMS and email. Passes are scanned with the same gate scanner as tickets, work offline, and let each person in once.

The guest list export has one row for each person, plus-ones included, with a Guest of column and each person's own needs: one file for the caterer and the door.

Reminders

Choose Schedule a reminder for guests who are coming (with their passes), guests who haven't replied, or guests who said maybe. Send it a day or a week before, or at a time you choose. You can cancel it until it goes out.

Let people register themselves

To let people sign up instead of buying a ticket, switch on Take registrations on the event's Registration tab. They sign up on the event's own registration page and land in a Registrations list. You can approve each one, cap the places, let them bring guests, close registration on a date and ask your own questions. When you ask about dietary and access needs, the registration form asks too, for them and for each person they bring. Invitation-only events can't take registrations.
