Check what can stop an event
The Readiness section: every booking, rental and order an event or ceremony depends on, checked against what it needs, blockers first.
Checked against Durbar on
Readiness, at the top of an event's page, compares what the event needs (its times, setup and teardown, and the people its tickets let in) with what has actually been committed: the venue booking, the rentals placed for it and its production orders in Studio. Each check reads one record, and says which.
What each check says
- Blocked: as things stand, the event can't happen as planned. The booking was cancelled, the event runs past it, the tickets let in more people than the space holds, or an order won't arrive in time.
- At risk: it can, but something may still fail. The venue hasn't approved the booking, the crew's setup or teardown isn't covered, a vendor's stock may be short, or a proof waits for approval.
- Unknown: nothing has been confirmed, so Durbar can't tell. For example: no venue booking is linked, so its capacity isn't known.
- Ready: the record covers it.
Every check shows its rule, the record it read (with its reference, and who holds it), when it was checked and the one thing to do next. Blockers come first. One blocker makes the whole event Blocked, however much else is ready: there's no percentage to hide it behind. Ready checks fold away at the bottom.
Setup and teardown
Under Details, in When, set Setup before the start and Teardown after the end in minutes. Both are optional. When you set them, the venue check asks the booking to cover the start less setup to the end plus teardown, and says by how much it falls short.
Link a booking another venue holds
When a venue on Durbar holds a booking for your event, link it so its times and capacity are checked. Durbar never links by matching names or dates: you say which booking, and the venue confirms.
- On the event's page, under Venue booking, choose Link a venue's booking.
- Pick it from Bookings you made (bookings made under the email or phone you sign in with), or type the booking's reference from the venue's confirmation: DUR and 20 letters or digits.
- Choose Ask the venue to link it. Until the venue confirms, you see only its name.
- The venue confirms from the booking's page. From then on you see the booking's times, space, capacity and status, and they see your event's title, times, setup and teardown. Neither of you sees anything else: not the booker's contact, the price, your tickets or your buyers.
Either side can end the link at any time. Before the venue decides, Withdraw request takes it back. If the venue declines, you see why, and you can ask again.
Rentals and production orders
Rentals you placed from the event's page are checked too: whether the vendor has accepted, whether the dates cover the event's day, and whether their stock may be short because something they rented out isn't back. Production orders made for the event are checked against their proof and against the date the partner promised.
Ceremonies
A congregation's Readiness tab checks the whole ceremony (everyone placed in a session, disputes answered, the confirmation deadline, regalia stock) and then each session on its own: its venue and capacity, seats for graduands and guests, whether access arrangements are written down, and print and supplier delivery. Each session says why it's ready or blocked.
Close the portal on the deadline
- On the congregation's Overview, set Last day to confirm or dispute.
- Turn on Close the portal on its own after the last day, and choose a Grace period in hours.
- Choose Save congregation. The Readiness tab's Deadline policy says when it will close and who it would lock out: everyone who hasn't confirmed, and everyone with a dispute open.
When the time comes, Durbar closes the portal, records it on the congregation's audit trail and tells your team. To let one person confirm after that, choose them under More time for one person and say until when (up to 30 days). If you reopen the list yourself, it stays open: the policy won't close it again. A list you close by hand is final, and nobody can confirm.
