Spaces and bookings

Add a space, set its rules, share a public booking page, approve requests, and find any booking on the list or the calendar.

Add a space

  1. In the console, open Spaces and choose New space.
  2. Give it a name and a kind: room, hall, desk, parking, court or pitch, studio, or other.
  3. Say how many people it holds, the building or venue, town and region.
  4. Set a price per hour (0 for free; a paid space is at least GH₵1.00 an hour).
  5. Choose whether you approve each booking, and whether it can be booked from a public link.

New spaces open Monday to Saturday. Change the hours on the space's page: up to four periods a day, and closures with a reason bookers see.

Set the booking rules

  • How people choose a time: any length, or fixed slots, in steps of 15 minutes to 4 hours.
  • The shortest and longest booking (from 15 minutes to 7 days), or Book whole days, up to 31 in a row, charged for the open hours.
  • A gap between bookings, the notice you need, and how far ahead people may book (up to 2 years).
  • Approve each booking, and Let people book it to repeat (free spaces with no deposit only).
  • Bookings one person can hold, if you want to share the space fairly. See Check how your spaces are used.

How booking works

  • Free and instant: confirmed at once.
  • With approval: the request holds the time until you decide.
  • Paid and instant: held for 15 minutes while the booker pays by MoMo or card.
  • Paid with approval: once you approve, the booker has 48 hours to pay, or until the start if that's sooner.

Requests wait at the top of Bookings under Waiting for approval, oldest first. Approve or decline there, or open one to change its time or cancel it.

Find any booking

Below the requests, Bookings lists every booking. Choose a view: Upcoming (the default: anything still to happen), Today, This week, Requests or Past. A booking that has ended is never under Upcoming.

  • Search by the booker's name, phone or email, or the booking's reference.
  • Choose Dates to see any range, such as all of December, without stepping through the weeks between.
  • Filter by Status (a hold that wasn't paid in time, or a request nobody decided before it ended, shows as Lapsed) and by Space, and sort by when, who booked, or when it was booked.
  • The count is every booking that matches, whichever page you're on. The filters stay in the address, so a bookmark or a shared link opens the same list.
  • Choose Save view to keep a set of filters under a name, such as Main hall, December. Saved views are yours alone; remove one from its chip.

The calendar

Calendar, under Spaces, shows every space's bookings together by Day, Week or Month. Use Go to a date to jump straight to any day, or Previous, Today and Next. Days a space is closed say so. If you also rent equipment, your rentals going out and coming back are there too, and any that are overdue are marked.

  1. Choose Day for a run sheet: every booking and rental stop in time order, with who to call.
  2. Choose Print for the clipboard, or Export CSV for a spreadsheet of the day, week or month shown.
The calendar only shows. To book, open the space: its own hours, rules and gaps between bookings decide what's free, so a clash can't slip through.

Share the booking page

A public space has a booking page that needs no account: people give their name, a phone or email, what it's for and how many are coming. They manage the booking from their own link, and can cancel a free booking or a request any time before it starts.

Whether a booker can cancel a paid booking themselves is your choice: see Take deposits, set terms and sell add-ons. If you don't allow it, they're asked to contact you, and you cancel it for them with Cancel booking. That refunds them through the payment provider. It needs someone who can issue refunds, confirmed with a passkey.

Book for someone

On the space's page, Book it takes their name, how many people, a phone or email and what it's for. It's confirmed at once and isn't paid online, so the booking shows what's to collect. The booker gets their link by SMS or email.

When an organizer links your booking

An organizer on Durbar whose event is in one of your bookings can ask to link it, by quoting its reference. The request waits in your Actions list and on the booking's page under Linked event, with their event's title and times. Nothing of the booking is shared until you confirm.

  1. Open the booking and find Linked event.
  2. Check the event is the one this booking is for.
  3. Choose Confirm link, or Decline with a reason the organizer reads.

Once linked, the organizer sees the booking's times, space, capacity and status, and you see their event's times, setup and teardown: never the booker's contact or the price, nor their tickets or buyers. If the event runs past your booking, or its setup or teardown doesn't fit, both of you see it in Actions, with how many minutes are missing. Move the booking or agree new times with them. Either of you can end the link.

Make the venue page shine

Add up to 12 photos with descriptions, tick the amenities you have, write your house rules, and add a landmark, your GhanaPost GPS address and a map pin. Public spaces are listed in Durbar's venue search by town, region, kind and size.
