Create and publish an event

Write a draft, add tickets, finish the checklist and publish your event page.

Checked against Durbar on

An event starts as a draft. Nothing is public until you publish it, so you can fill it in over several sittings.

Create the draft

  1. In the console, open Events and choose New event.
  2. Give it a title and a short summary. The summary appears on cards and in shared links.
  3. Pick a category, then add a cover image and describe it in a sentence for people who can't see it. The cover can be a JPEG, PNG or WebP of up to 5 MB, and you crop it in place.
  4. Set when it starts and ends, and when doors open (at most 12 hours before the start). If your crew needs the venue before or after, add Setup before the start and Teardown after the end, in minutes.
  5. Add where it is: venue, address or directions, town and region. A GhanaPost GPS address and a map pin are optional.
  6. Choose Create draft.

You can add more any time before or after publishing: a longer description, minimum age, dress code, parking and access notes, up to 20 questions and answers, and your refund policy.

Finish the checklist

Before you publish lists what's missing. You can't publish until every item is done:

  • A short summary, for the event page and link previews.
  • At least one ticket type, unless people register through your guest list or come by invitation.
  • A start date in the future.
  • Payouts set up, if any ticket is paid.

Publish

Choose Publish event. A ticketed event then shows On sale now with its link and View public page. An event that takes registrations or invitations shows those instead. Public events are listed on Durbar's home page by region, date and category.

If you booked one of your own spaces for the event, open the booking and choose Create event from this booking: the draft starts with the venue, town, map pin, cover and times filled in. If another venue on Durbar holds the booking, link it from Venue booking so its times and capacity are checked.

Check what can stop it

Readiness, at the top of the page, checks the venue booking, capacity, rentals and production orders against the event, blockers first. Each check says its rule, the record it read and what to do next.

Take it down, move it or cancel it

  • Move to draft takes the event back to a draft and off the public site.
  • To move the date, edit the start. Every buyer gets an SMS and email saying their tickets still work, and anyone who can't make the new date can request a refund until it starts, whatever your policy. Changing the venue tells ticket holders too.
  • Cancel event asks for a reason that buyers see. Every paid order is refunded in full, free tickets are voided, everyone is told, and all tickets stop working. A cancelled event can't be edited again.
Who can find it: People with the link leaves the event out of listings, but anyone with its link can still open it. Invited guests only is for people on your guest lists: add them in Guests and send each one their own invitation.
Moving or cancelling an event with paid tickets can mean refunds, so it needs someone who can issue them, confirmed with a passkey. Anyone else is asked to pass it to them.
